In short
Last updated July 2026
An AI personal assistant for business handles the recurring work a founder or executive would otherwise do at 11pm: inbox triage with drafted replies, research briefs, scheduling admin, CRM hygiene, outreach follow-up and the weekly report. The category divides into tools that suggest and tools that act. Suggestion tools run $10 to $80 a month and make you faster. Tools that complete a job unattended run $100 to $500, with WorkAgent at $149 a month flat and no credit meter. The frame that decides it is not tool versus tool: a US personal or executive assistant has a median salary of $76,590 a year, and a dedicated virtual assistant runs $1,600 to $3,600 a month for the same tasks.

Compare
AI personal assistant options for a business, compared
Pricing taken from each vendor's own page in July 2026. WorkAgent is one of the options listed, so weigh accordingly.
| Option | US price | What it actually does | Best for |
|---|---|---|---|
| ChatGPT or Claude | $20 to $30 / user / month | Answers and drafts when you prompt it. You still do the job. | Everyone. Start here before buying anything else. |
| Motion | $29 / month annual, $49 monthly | Schedules your tasks and meetings into your day automatically | A calendar that collapses every week |
| Reclaim.ai | $10 to $18 / seat / month | Defends focus time, habits and buffers across calendars | Cheap, narrow calendar hygiene |
| Fyxer AI | $30 / month list, $22.50 annual | Sorts the inbox and drafts replies in your voice | Email volume specifically |
| Clara | $80 / month (30 meetings) | Emails the other party until a meeting is booked | Constant external scheduling |
| WorkAgent | $149 / month flat | Finishes whole jobs: research, briefs, outreach, CRM, reporting | Work that never gets done, not a messy calendar |
| Virtual assistant (Prialto) | $1,600 / month (55+ hrs) | A trained person on your processes, with backup cover | Tasks needing judgment and accountability |
The honest read: if your calendar is what is broken, Motion or Reclaim will fix it for less than we cost and we do not compete there. If it is your inbox, Fyxer. Come to an agent when the problem is that the research, the follow-up and the reporting are simply not happening, which no calendar tool touches.
Suggesting is not assisting
Most software sold as a personal assistant for business surfaces a suggestion and waits for your click. It highlights the email you should answer, proposes a time, drafts a sentence. That is genuinely useful and it is not what you were shopping for. It has made you faster at your own work rather than taking any of it off you.
The test takes one question, and it is worth asking in every demo in these exact words: can I give it a task, close my laptop, and come back to a finished result? A surprising number of vendors cannot say yes, because the demo is always a person driving the tool while narrating. Make them walk away from it.
The jobs founders hand over first
A pattern repeats across almost every founder who starts delegating properly. The inbox goes first, because it is the loudest. Then research, because it is the highest-value work that gets postponed the longest: what competitors charge, which vendor to pick, whether a market is real. It is genuinely important and there is never a Tuesday for it.
Outreach follows, and it is usually where the money shows up, because most small companies have no consistent prospecting for the simple reason that the founder is the only one who could do it and the founder is busy. CRM hygiene and reporting come last, normally when someone notices the agent could have been writing the weekly summary all along. The full list is on our tasks to delegate to an AI agent post.
What it costs against the person you would otherwise hire
Set the tool-versus-tool comparison aside, because it is the wrong frame and it is why most people stall on this decision. The real question is what happens to this work otherwise. The US median executive assistant salary is $76,590 a year as of May 2025 per the Bureau of Labor Statistics, with a median hourly wage of $36.82, and the loaded cost with payroll tax, benefits and equipment runs higher. Prialto publishes $1,600 a month for a fractional dedicated assistant at 55 or more hours and $3,600 for full time. Athena publishes $3,000 a month for a dedicated full-time EA.
Against those, $149 a month is not a close call, and the arithmetic only fails if the agent does nothing useful. But be clear about what you are buying. Not a replacement for a person: a delay of the first admin hire, and the completion of work that was previously not getting done at all. The full breakdown sits on our AI employee pricing page, and the tool-by-tool comparison on AI executive assistant.
Where it still needs you
It will not handle an upset customer, make a call with legal or financial weight, or navigate the unscripted exception that makes up half of running a company. It does not have your relationships and it does not carry your accountability. Any vendor telling a founder they can replace their team with software is selling something they cannot deliver.
Security deserves a straight answer too. An assistant inherits the permissions of every account you connect, which means it can act as you inside your inbox or your CRM. Connect only what the job in front of it needs, require your approval on anything sent outside the company, and read the audit log during the first few weeks. Scoped properly it is a tool. Handed the keys to everything on day one it is a risk you did not need to create.
The delegation problem is usually the founder, not the software
The most common reason one of these fails has nothing to do with the technology. Founders who have never had an assistant have never had to describe their own work, and it turns out that is a skill. The instinct is to hand over a task with the context still in your head, get back something that misses the point, and conclude the tool cannot do it. The same thing happens with human assistants in month one, which is why most founders quietly do their own admin forever.
The fix is a briefing habit rather than a better prompt. Say what you want, what a good version looks like, what it must never do without checking, and which format you want it back in. That is four sentences, and it is the difference between something you delegate and something you supervise. If you cannot write those four sentences about a job, the job is not ready to hand over, and that is useful information about the job rather than about the software.
What it costs you when this work does not get delegated at all
The cost that never appears on a budget line is the work that simply does not happen. The competitor pricing review you have meant to do since spring. The follow-up on the twelve people who said to circle back in Q3. The weekly numbers you reconstruct from memory in a meeting. None of that shows up as a missed expense, and all of it shows up as slower growth. Founders benchmark an assistant against $149 a month when the honest benchmark is what the undone work is costing.
The second hidden cost is the hours themselves. If you spend six hours a week on admin that could be delegated, and your time is worth anything at all against the alternative uses, that is the most expensive labor in your company doing the cheapest work in it. Most founders know this and stall anyway, because hiring is a commitment and this is not. That asymmetry, cancel anytime versus a payroll decision, is the actual reason people start here, and it is a reasonable one. The full pricing comparison sets it against what the roles cost.
FAQ
Questions founders ask about an AI personal assistant
What is an AI personal assistant for business?
It is software that takes over the recurring work an assistant would do: inbox triage with drafted replies, research briefs, scheduling admin, CRM updates, outreach follow-up and the weekly report. The useful ones complete a job and hand back a result. The weak ones surface a suggestion and wait for your click, which makes you faster rather than taking work off you.
How much does an AI personal assistant cost?
Calendar and inbox tools run $10 to $80 a month: Reclaim $10 to $18 a seat, Motion $29 to $49, Fyxer $30, Clara $80. Agents that finish whole jobs run $100 to $500, with WorkAgent at $149 flat and no credit meter. Compare any of it against a dedicated virtual assistant at $1,600 to $3,600 a month or a US executive assistant at a $76,590 median salary.
Can an AI personal assistant replace a human assistant?
It replaces the mechanical portion: scheduling, first-pass inbox triage, research, admin, data entry and the recurring report. It does not replace judgment, relationships or accountability. Most founders who adopt one were never going to hire an assistant anyway, so nothing is being replaced. They are getting work done that previously happened at 11pm or not at all.
What is the difference between an AI personal assistant and ChatGPT?
ChatGPT responds when you prompt it, from what you give it, and hands back text. A personal assistant holds your context, runs on a brief or a schedule, connects to your inbox and CRM, and returns the same format every time. The difference shows up on the twentieth repetition, not the first. If you are not already using ChatGPT daily at $20 a month, start there first.
Is an AI personal assistant safe for business data?
It can be, with scoping. It inherits the permissions of every account you connect, so it can act as you inside your inbox or CRM. Connect only what a given job needs, require human approval on anything sent externally, use a business plan where your data is not used for training, and review the audit log in the first weeks. The risk is over-permissioning on day one, not the technology.
Do I need technical skills to use one?
No, for assistants and agents: you describe what you want in plain English, the same way you would brief a new hire. Automation builders like Zapier, Make and n8n are a different category. They are marketed as no-code but you still design, test and maintain every flow, which is real ongoing work. If nobody at your company wants that job, avoid the builder category.
What can an AI personal assistant do for a founder?
The highest-value uses are research you keep postponing, returned as a sourced brief; targeted prospect lists with a real reason to contact each; personalized outreach with the follow-ups that always get dropped; inbox triage with drafted replies; CRM cleanup; and the weekly numbers written up before you remember to ask. It is the work that is important and never urgent.
Is it worth it for a small business?
It is worth it if there is real work not getting done, which describes most small businesses. At $149 a month it costs less than a day of a contractor and it does the research and the follow-up every week without being reminded. It is not worth it if you are hoping to replace a person outright, or if you will not spend an hour briefing it properly. Vagueness in produces vagueness out, fast.
